Configuring your sender name and profile photo helps your emails appear more professional and trustworthy in your leads' inboxes.
Important: Some email providers won’t display the sender name or profile pictures on the first unsolicited email, but on follow-up emails after the recipient interacts with your messages.
Setting Your Sender Name in Instantly
Go to Email Accounts dashboard
Click on the email address you want to update
Click the "Settings" tab in the right panel
Under "Sender name", enter your First Name and Last Name
Scroll to click "Save" to apply changes
Setting Your Sender Name in Your Email Provider
You'll also need to update the name directly in your original mailbox (Gmail, Outlook, etc.) to ensure consistency:
Log into your email provider directly
Go to account or profile settings
Update the First Name and Last Name fields
Save the changes
Adding Profile Pictures
Profile photos must be set up through your email provider (such as Gmail) - they cannot be added from within Instantly. Once configured in your provider, the photo will appear when you send emails through Instantly.
For DFY/Pre-warmed accounts purchased from us
Go to Billing page
Select "Email accounts & Domains"
Request passwords for your accounts (admin/owner access required)
Log into Gmail and follow Google's standard process for adding profile pictures
Your profile picture is managed by your organization
If you see this notification, log out and then log back in to change the profile image
If the notification persists, please share the profile images with our support for assistance
