Advanced Lead Filtering and Sorting

Learn how to filter and sort leads based on statuses and conditions

Lead filters help you segment contacts for targeted follow-ups, analyze campaign performance, and manage your database efficiently. This guide covers all available filtering and sorting options.

Accessing Lead Filters

In Campaigns

  • Open your cold outreach campaign

  • Click the "Leads" tab

  • Click the "Filter" button

  • Select your filter criteria from the options: Data Fields, Lead status, Lead owner, Lead ESP, Lead ESG, or Advanced filters(Email Opened/Link clicked/Reply received)

In CRM

  • Go to CRM -> Leads section

  • Click the Filters button

  • Choose your filter type: Campaigns, List, AI Sales Agent, Lead Status, Lead Owner, or Advanced filters(Email Opened/Link clicked/Reply received)

  • To clear applied filters, select 'All' from the dropdown

In Leads tab

  • Go to the Leads tab

  • Navigate to the Leads section in the top bar

  • Campaigns: Select the target campaign

  • List: Select the target list

  • Open a list or a campaign, and click the Filters button


Filter by Lead Status

You can filter by predefined lead statuses or any custom lead statuses you created.

Click here to check available statuses

  • Reply received

  • Link clicked

  • Completed, No reply

  • Email Opened, No reply

  • No email opened

  • Unsubscribed

  • Bounced

  • Skipped

  • Contacted

  • Not yet contacted

  • Risky

  • Invalid

  • Valid

  • In subsequence

  • Completed

  • Interested

  • Meeting completed

  • Meeting completed, not closed

  • Won

  • Out of office

  • Lost

  • Not interested

  • Wrong person


Filter by Lead Owner

If you've assigned lead owners, you can filter by lead owner to see specific team member's leads.


Filter by Email Service Provider (ESP)

ESP filtering shows which email provider your leads use. This helps with deliverability optimization and provider routing.

Available ESP Filters

  • Google

  • Microsoft

  • Zoho

  • Yahoo

  • Yandex

  • Web.de

  • Libero.it

  • Checking email provider

  • Not Found

  • Other


Filter by Secure Email Gateway (SEG)

SEGs are email security systems that make it difficult to reach contacts. Filtering by SEG helps you identify these contacts and adjust your approach.

Available SEG Filters

  • Barracuda

  • Mimecast

  • Proofpoint

  • Cisco


Filter by Conditions/Advanced Filters

Condition filters let you segment leads based on specific engagement behaviors and timing.

Available Condition/Advanced Filters

  • Opened an email - How many times a lead opened any email

  • Clicked a link - How many times links were clicked

  • Replied to an email - Number of replies sent

These filters can be combined with:

  • More than/Less than/Exactly X times

  • in the past X days

How to configure: Action + Count + Timeframe

  • Click "Add condition" in the filter menu

  • Select the action type (opened, clicked, replied)

  • Set the count (how many times)

  • Define the time frame (past X days)

  • Apply the filter

Example: Opened an email + 3 times + in the past 7 days


Filter by Custom Variables

In CRM

  • Go to CRM -> Leads section

  • Click a column

  • Add filter: Filter leads by this column/variable

  • Configure filter:

    • Set the condition (equals, contains, is empty, etc.)

    • Enter the value to match

    • Apply the filter

In Campaigns

  • Open your cold outreach campaign

  • Click the "Leads" tab

  • Click the "Filter" button

  • Select data fields:

    • Choose "Data fields" from filter options

    • This shows all available variables

  • Configure filter:

    • Select the variable you want to filter by

    • Set the condition (equals, contains, is empty, etc.)

    • Enter the value to match

    • Apply the filter


Sorting Leads

  • Click a column

  • Select "Add sort"

  • Choose sort order:

    • Ascending (A→Z)

    • Descending (Z→A)
