CRM Leads + Lists

A complete guide to CRM lead management

The CRM → Lists/Campaigns section gives you a centralized view of all your leads with powerful features to organize, filter, and move them between lists and campaigns.


Filtering Leads

You can filter leads by variable, lead status, lead owner, lead ESP, or advanced conditions in the CRM.

  1. Open a list or campaign in the CRM

  2. Click the 'Filters' button

  3. Choose your filter type

  4. To filter leads by variables, select 'Data fields'.


CRM Lists

From the CRM Lists section, you can store leads not currently in campaigns. Leads in lists don't count toward your "Uploaded leads" limit.

You can create as many lists as you want. There's no cap on the number of leads you can import into these lists, but the file size limit that you can upload in one go is 20MB.

Main Actions

  • Add leads: Import leads to the list

  • Export: Export SuperSearch leads to Salesforce, HubSpot, Apollo, Lemlist, Smartlead, or Pipedrive.

  • Filter: Filter leads by lead statuses, Variables, lead ESP, lead owner, and conditions

  • View history: View credits usage, enrichment history, and timestamp

  • Delete list: Permanently delete the list and all its leads

  • Edit list: Change list name or list owner

  • Auto update: Automatically enrich all new leads added to the list

Selecting & Managing Leads

Selection Options

  1. Select individual leads: Tick the checkbox next to each lead

  2. Select first X results:

    • Select a specific number of leads

    • Available actions: Download, assign, delete, move

  3. Select all results:

    • Select all leads in the list

    • Available actions: Download, assign, move

    • Note: Delete action is disabled to prevent accidental bulk deletion

Row Actions (for selected leads):

  • Run enrichment for all selected leads

  • Download selected leads as CSV

  • Assign leads to team members

Moving Leads Between Lists/Campaigns

  • Moving to lists requires Hyper Growth or Light Speed plan

  • Only leads with work email addresses can be moved to campaigns

  • Verify you have sufficient uploaded contact limits in your workspace when moving leads to campaign

Steps to move leads:

  1. Select the leads you want to move

  2. Click 'Move' in the top-right

  3. Choose destination (campaign or list)

  4. Configure move settings:

Option

What it does

Copy Leads

Keep the original leads in the source list (creates duplicates in the destination)

Reset lead interest status

Clears interest labels (Interested, Not Interested) when moving. If disabled, interest labels are preserved

Check for duplicates across All campaigns

Prevents adding leads that already exist in other campaigns. Uncheck to allow duplicates

Enable Evergreen

Automatically moves new leads from this list to the campaign on a recurring schedule (daily, weekly, or monthly)


CRM Campaigns

From the CRM campaigns section, you can view and manage leads in campaigns. Leads in campaigns count toward your "Uploaded leads" limit.

Main Actions

  • Add leads: Import leads directly to the campaign

  • Filter: Filter leads by lead statuses, Variables, lead ESP, lead owner, and conditions

Selecting & Managing Campaign Leads

Selection Options

  1. Select individual leads: Tick the checkbox next to each lead

    • Select all leads in the list

    • Available actions: Download, assign, move

Moving Leads from Campaigns

You can move campaign leads to another campaign, a subsequence, or a list. Moving to lists requires Hyper Growth or Light Speed plan.

  1. Select the leads you want to move

  2. Click 'Move' in the top-right

  3. Choose destination (campaign, subsequence, or list). Verify you have sufficient uploaded contact limits in your workspace when moving leads to campaign

  4. Configure move settings:

  • Copy Leads: Keep originals in source campaign

  • Reset lead interest status: Clear interest labels when moving

    • Enable this option if you wish to reset the lead interest status when copying or moving leads.

    • When disabled, the existing interest status is preserved in the new campaign or list.

    • Campaign progression statuses like 'Completed' or 'Reply received' won't be preserved, even with 'Reset interest status' unchecked.


Sending One-Off Emails to Leads

Send individual emails directly from the CRM without creating a campaign.

  1. ​Open a list or a campaign in the CRM

  2. Select the lead(s) you want to email

  3. Click on the Row Actions --> Send Email button.

  4. Select your sending account

  5. Compose your email

  6. Once ready, click "Send".

This feature is available for Hyper Growth plans or higher. It's not recommended to use this feature for bulk emailing, as all recipients' email addresses will be visible in the 'TO' field. For bulk outreach, please always create a campaign.

Best used for: Personal follow-ups or one-on-one communication
