Analytics features provide insights and data analysis capabilities to help users understand trends, patterns, and performance metrics across your campaigns and email accounts.
Watch a detailed explanation of the Analytics feature HERE.
Account-Level Analytics
You can view performance data across all campaigns by going to the Analytics tab. This provides an overview of emails sent, opened, clicked, and replied to across all campaigns.
Share: Download the analytics chart for all campaigns based on your selected timeframe. Includes: Total sent, Open rate, Click rate, Reply rate, and Opportunities.
Filter: Filter campaigns by status: Active/Paused/Completed
Date range: Select a custom date range to view stats for a specific timeframe.
Gear icon: Show or hide specific metrics. You can disable "Include auto replies" to exclude automatic replies (like out-of-office messages) from the reply rate.
1. Campaign Analytics
You can view analytics for each individual campaign.
Actions: Click the Play icon to resume a campaign, share the campaign analytics, or download campaign analytics as CSV
2. Account Analytics
View performance metrics for each sending account.
The combined score is a weighted metric based on open and reply rates for each account. It helps you rank accounts based on their performance across campaigns.
Above 30: Decent performance (when the contacted number/sample size is more significant than 100)
Below 30: Too early to evaluate if the contacted number is less than 100, and you should keep the account running even with a low combined score (e.g., 10)
Note: Our reporting is done in the UTC timezone, which is a standard practice among other providers in our industry. This is to ensure that the analytics numbers remain timezone-independent, especially for clients running campaigns in different time zones.
Campaign-Level Analytics
1. Automatic Campaign Diagnostics
If your campaign isn't sending or not reaching full capacity, use the Diagnose button in your campaign's Analytics section for automatic diagnostics.
2. Key Metrics
Tip: Select a longer timeframe (Last 3 months) to view complete campaign analytics.
Sequence started: The number of leads that have received Step 1 in the campaign (i.e., the sequence has started for them).
Open Rate: The percentage of leads who opened at least one email in the selected time range. You can enable open tracking in the campaign's Options section
Click Rate: The percentage of leads who clicked at least one link in your campaign. You can enable link tracking in the campaign's Options section.
Reply Rate: The percentage of leads who replied to at least one email in the selected time range. Automatic replies (like out-of-office messages) are included in the reply rate metrics by default. To exclude auto replies:
Go to the Analytics of the campaign or the Analytics dashboard
Click the gear icon (next to the date range)
Disable 'Include auto replies' to exclude automatic replies from the reply rate
Note: When you disable "Include auto replies" in one campaign, it remains off for all campaigns on your current device. If you check analytics on another device, you'll need to disable the setting again.
Opportunities: Track positive replies and attach a monetary value($$) to calculate campaign ROI. Opportunities include leads with these statuses:
Interested
Meeting Booked
Meeting Completed (not closed)
Closed
3. Share Campaign Analytics
Click "Share" to download the analytics chart for this campaign based on your selected timeframe. Exported data includes:
Contacted
Opened
Replies
Opportunities
4. Step Analytics
Measure the performance of each step and variant in your campaign. To access Step Analytics:
Open the target campaign
Go to the Analytics tab of the campaign
Scroll down to locate the Step Analytics
5. Sending Activities
View real-time campaign activities with the ability to filter and download Email sent/Email opened/Link Clicked/Reply received/Auto reply activities.
When downloading sending activities to CSV, the file will include these details:
Sending accounts used for sending
Lead’s email
Timestamps
Step number
Even type
Which link was clicked on
6. Campaign Progress Indicator
The campaign progress indicator shows the percentage of leads that have completed all sequences in the campaign.
Important: Progress increments only when a lead completes the entire sequence, not at each individual email step.
Example: If your campaign has 3 steps, the progress only increases when leads complete all 3 steps—not after Step 1 or Step 2. You can hover over the progress percentage for a detailed overview or check the step activity to confirm if leads are still waiting for follow-up steps.
Once all leads have completed every step in the campaign, campaign progress reaches 100%.
Troubleshooting Analytics Issues
Campaign Analytics Not Showing or Incorrect
Campaign Analytics Not Showing or Incorrect
If your campaign analytics appear incorrect or aren't displaying, check the following:
1. Time Range: Analytics may appear empty or incomplete due to a narrow time range
Check the selected timeframe using the Date filter
Select a longer period (e.g., Last 3 months) for more accurate analytics
Ensure the time range covers when your campaign was actively sending
2. Cache Issue: Force refresh your browser to clear the cache.
Windows: Press
CTRL + SHIFT + RMac: Press
CMD + SHIFT + R
3. Campaign Status: No analytics appear because no emails have been sent.
Check the campaign's real-time Sending Activities to confirm emails are being sent
If the campaign hasn't sent emails yet, analytics will remain empty until sending begins
Review the campaign troubleshooting guide if emails aren't sending
4. "Sequence Started" Shows Zero: The "Sequence Started" metric reflects only Step 1 emails sent in this campaign, not follow-up emails.
If only follow-up steps were sent within the selected time range, "Sequence Started" will show 0
Step 1 emails may have been sent outside your selected date range
5. Campaign Progress stuck: The campaign progress indicator shows the percentage of leads that have completed all sequences in the campaign. It increments only when leads complete the entire sequence, not at each individual email step.
Leads are still waiting for follow-up steps (haven't completed the full sequence yet)
Campaign was just launched and needs a few minutes to start sending (if within the sending schedule)
No leads have completed all steps yet
This is normal behavior. Progress will increase once leads complete all steps in your sequence. Check Step Analytics to see how many leads are waiting for each step.
Open/Click Rate Not Being Tracked
Open/Click Rate Not Being Tracked
If opens or clicks aren't showing in your campaign, verify your tracking settings.
1. Check Tracking Is Enabled
Go to your campaign's Options section
Ensure Open tracking is enabled
Ensure Click tracking is enabled
2. Open Tracking May Be Disabled By Settings
Delivery Optimization is enabled in the Campaign's Options:
This feature disables open tracking to improve deliverability
Disable Delivery Optimization if you need open tracking
Advanced Deliverability settings conflict:
Check if "Always send first email as text-only" is enabled (disables open tracking for Step 1 across all campaigns)
Check if "Disable Open Tracking" is enabled globally
Adjust these settings based on whether you prioritize tracking or deliverability.
Note: When your open rate exceeds 100%, Instantly displays a dash ("-") instead of a percentage. Open rate is calculated as (Number of opens) ÷ (Number of "Sequences started"). Since only Step 1 emails count as "Sequences started," leads who open multiple follow-up emails can push the rate above 100%.
Discrepancies in Reply Rate
Discrepancies in Reply Rate
If reply rates appear incorrect or aren't showing, check these settings:
1. Reply Rate Metric Not Visible in the dashboard:
Open your campaign
Go to the Analytics tab
Click the gear icon (next to the time range)
Enable the "Reply rate" checkbox to display this metric
Select a longer time range to see if analytics update
2. Auto-Replies Are Included: Automatic replies (like out-of-office messages) are now included by default in reply rate metrics, which may cause discrepancies compared to previous data. To exclude auto-replies:
Go to the Analytics tab of your campaign
Click the gear icon (next to the time range)
Disable "Include auto replies"
Important: When you disable "Include auto replies" in one campaign, it remains off for all campaigns on your current device. If you check analytics on another device, you'll need to disable the setting again.
