Automations

The Automation Builder allows you to integrate and connect additional tools to Instantly, and it is available to all Email Outreach plans.

You choose a trigger, and Instantly automatically performs an action in another tool. For example, when the lead's interest status changes, Instantly sends them to a LinkedIn campaign in Aimfox, Heyreach, or Valley.


Step 1: Create an automation

  • Go to the Automations tab

  • Click 'Add New' to create a new automation workflow

  • Design your workflow

You can easily manage the automations by clicking the three dots(...):

  • Settings: Rename the automation or add a description.

  • Save: Save the changes

  • Duplicate: Duplicate the automation

  • Share: Share the automation

  • History: Check the execution history of the automation workflow

  • Delete: Delete the automation


Step 2: Add a trigger

You can add different triggers from Instantly, Trigify, and RB2B.

Instantly

  1. You can select available triggers from Instantly:

    • Lead interest status changed

    • Campaign finished for lead

    • Lead added to list

    • Lead replies

  2. Once you select the trigger event, click 'Continue' to choose the target campaign.

  3. Click 'Continue' to test and save the step.

The 'Lead Interest Status Changes' trigger only works for the default interest status labels within Instantly. Custom labels are not supported for now.

Trigify

The Trigify integration automatically turns relevant social posts (based on pre-set criteria in Trigify) into leads and sends them to Instantly for enrichment or outreach.

Possible workflow (points 1-5 happening in Trigify)

  1. Post matches the user's high-intent keyword search or profile posts

  2. Get Likes & Comments from that post

  3. Enrich every person who engaged (person-level data)

  4. Filter for your ICP (country, role, industry, etc.)

  5. Run email enrichment on the filtered contacts (optional)

  6. Send qualified leads straight into Instantly:

    • If email is found β†’ add to a campaign

    • If not β†’ add to a list for enrichment


Step 3: Add an action

We support Instantly, Aimfox, Valley, and HeyReach for adding actions in the workflow. Before configuring the actions, please connect your integration account to Instantly.

Aimfox

  1. Click 'Add New'

  2. You will be asked for a user/password to connect to your Aimfox account.

Valley

  1. Click 'Add New'

  2. Enter your account and password to connect to your Valley account.

HeyReach

  1. Log in to your HeyReach account and navigate to API Integration.

  2. Click on New API key to create a new API Key.

  3. Enter your API Key in Instantly to connect to your HeyReach account.

After setting up the triggers and selecting the connected accounts, you can add the available actions to be performed in these integrations:

  • Aimfox: Add profile to campaign

  • HeyReach: Add lead to campaign, Add lead to list

  • Valley: Add lead to campaign

  • Instantly: Add lead to list, Add lead to campaign

Below is an example of the workflow with Aimfox integration: When the lead interest status changes in your selected campaign in Instantly, it will add the profile to the selected campaign in Aimfox.

Once you select the actions, click 'Continue' to choose the campaign and map the lead data. Simply enter / to map the variables.

To successfully push leads from Instantly to Aimfox, Heyreach, and Valley, the leads in Instantly must have a LinkedIn URL.

If the action is set to 'Add leads to campaign' in Instantly, you can check the box:

  • Ignore if lead exists in other campaigns to skip duplicates

  • Launch campaign if paused or completed to resume the campaign

The whole process is similar across the board, so you can follow the same steps for other integrations.


Step 4: Activate the automation workflow

Before activating the workflow, please ensure that you test the trigger to confirm that the action you selected can be completed successfully. You can also check the execution history of the automation workflow to verify its success.

Now you can toggle the switch on or click the Play icon in the automation list to activate the workflow.
