Automations

The Automation Builder allows you to connect Instantly with other tools to automate your workflow, and it is available to all Email Outreach plans.

You choose a trigger, and Instantly automatically performs actions in another tool. For example, when the lead's interest status changes, Instantly sends them to a LinkedIn campaign in Aimfox, Heyreach, or Valley.


Step 1: Create Your Automation

  • Go to the Automations tab

  • Click 'Add New' to create a new automation workflow

  • Design your automation flow

Managing Your Automations

You can easily manage the automations by clicking the three dots(...), re-center, and navigate large automations easily:

  • Settings: Rename the automation or add a description.

  • Save: Save the changes

  • Duplicate: Duplicate the automation

  • Share: Share the automation

  • History: Check the execution history of the automation workflow

  • Delete: Delete the automation


Step 2: Add a Trigger

Choose which event to start your automation. One trigger can run multiple actions in a single flow.

Instantly Triggers

  • Select available triggers from Instantly:

    • Lead interest status changed

    • Campaign finished for lead

    • Lead added to list

    • Lead replies

  • Once you select the trigger event, click 'Continue' to choose the campaign. You can now apply a single trigger (for example, lead status change) across all campaigns, instead of configuring each one individually.

  • Click 'Continue' to test and save the step.

Important: The "Lead Interest Status Changes" trigger only works with Instantly's default status labels. Custom labels are not currently supported.

Trigify Trigger

Trigify automatically turns relevant social media posts(based on pre-set criteria in Trigify) into leads and sends them to Instantly for enrichment or outreach.

Trigger event: New Signal Detected

Possible workflow (points 1-5 happening in Trigify)

  1. Post matches the user's high-intent keyword search or profile posts

  2. Get Likes & Comments from that post

  3. Enrich every person who engaged (person-level data)

  4. Filter for your ICP (country, role, industry, etc.)

  5. Run email enrichment on the filtered contacts (optional)

  6. Send qualified leads straight into Instantly:

    • If email is found β†’ add to a campaign

    • If not β†’ add to a list for enrichment

  • Contact created, updated, deleted

  • Deal created, updated, deleted

  • Tasks, notes, communications (email, SMS) created

  • Conversation created

  • New message in conversation

  • Deal association changed

  • Contact created

  • Contact updated

  • Person / Company Identified


Step 3: Add Actions

LinkedIn Outreach

Before you begin: Connect your integration accounts (Aimfox, Valley, or HeyReach) to Instantly.

Aimfox

  1. Click 'Add New'

  2. You will be asked for a user/password to connect to your Aimfox account.

Valley

  1. Click 'Add New'

  2. Enter your account and password to connect to your Valley account.

HeyReach

  1. Log in to your HeyReach account and navigate to API Integration.

  2. Click on New API key to create a new API Key.

  3. Enter your API Key in Instantly to connect to your HeyReach account.

Available Actions

Once connected, you can choose from these actions:

  • Aimfox: Add profile to campaign

  • HeyReach: Add lead to campaign, Add lead to list

  • Valley: Add lead to campaign

  • Instantly: Add lead to list, Add lead to campaign

  • Slack: Send message

  • HubSpot: Create or update contact, Create message, Create task, Create note

  • HighLevel: Create contact

  • LeadConnector: Create contact

Example Workflow: When the lead interest status changes in your selected campaign in Instantly, it will automatically add the profile to the selected campaign in Aimfox.

Once you select the actions, click 'Continue' to choose the campaign and map the lead data. Simply enter / to map the variables.

To successfully push leads from Instantly to Aimfox, Heyreach, and Valley, the leads in Instantly must have a LinkedIn URL.

Additional Options for Instantly Actions

When adding leads to campaigns or lists in Instantly, you can:

  • Ignore if lead exists in other lists

  • Ignore if lead exists in other campaigns to skip duplicates

  • Launch campaign if paused or completed to resume the campaign

  • Add custom fields/variables when adding leads to lists or campaigns

These steps work similarly across all integrations. You can follow the same steps for other integrations.


Step 4: Activate Your Automation

Before going live:

  • Test the trigger to confirm the action completes successfully

  • Check execution history to verify everything works

Now you can toggle the switch ON or click the Play icon in the automation list to activate your workflow.
