RB2B Integration in Automations

You can now link RB2B with Instantly to automatically sync visitor data for timely email outreach, and if:

  • RB2B identifies the visitor and the email -> send it to Instantly campaign

  • RB2B identifies the profile with no email -> send to Instantly list for enrichment

In this article, we will guide you through the RB2B integration in Instantly's automations.


Step 1: Create Your Automation

  • Go to the Automations tab

  • Click 'Add New' to create a new automation workflow

  • Design your workflow

  • Re-center, and navigate large automations easily

Managing Your Automations

You can easily manage the automations by clicking the three dots(...), re-center, and navigate large automations easily:

  • Settings: Rename the automation or add a description.

  • Save: Save the changes

  • Duplicate: Duplicate the automation

  • Share: Share the automation

  • History: Check the execution history of the automation workflow

  • Delete: Delete the automation


Step 2: Configure Your Automation Schedule

Before configuring triggers, you can set the schedule for your automations to run. You can customize the following options:

  • Frequency

  • Timezone

  • Repeat every X days

  • Time of Day

  • Run only on weekdays(Mon - Fri)


Step 3: Add a Trigger

  • Add RB2B as the trigger app

  • Select the trigger event -> Person / Company Identified

  • If you don't have an account, click 'Create one here'.

  • Click 'Continue' to the next step


Step 4: Configure Webhook

You will see the option to select a webhook. Due to the nature of RB2B, the same webhook can be utilized in different automations. You can either select an existing webhook in the dropdown or create a new one if necessary.

To create a new webhook, click 'Add new webhook' and name it. Upon creation, a webhook URL will be generated, which you can copy and paste into RB2B.

To paste the Webhook into RB2B, you can follow the steps below:

Next, go back to Instantly, test the step by clicking "Continue", and save the changes.


Step 5: Add Conditional Branching (If/Else Logic)

You can now add logic inside your workflows. Conditional branching is the simple “if this, then that” logic inside a workflow.

  • If the condition matches → Action A happens next

  • If the condition does not match → Action B happens next

The workflow makes the decision automatically based on the data: different data → different action → fully automated.

Example:

  • If lead has a corporate domain → send Slack alert to a specific channel

  • If lead uses Gmail/Hotmail → send to a different channel


Step 6: Add Actions

You can now add an action to be performed in Instantly:

  • Add Lead to List

  • Add Lead to Campaign

Once you select the actions, click 'Continue' to configure the campaign and variables:

  • Choose the target campaign

  • Check the box based on your preferences

    • Ignore if lead exists in other campaigns to skip duplicates

    • Launch campaign if paused or completed to resume the campaign

  • Enter / to map the variables: Email, First name, Last Name, Company Name, Website, LinkedIn Profile URL

  • Click Continue to test the event and save the automation


Step 7: Test and Activate

Please test the trigger to confirm that the action you selected can be completed successfully. To simulate a real event:

  • Send a test event from RB2B that mimics what will be triggered when a user is detected on your website.

  • Upon receiving a 200 OK response in RB2B, you can check for a newly created lead with all relevant details, including email, campaign, website, last name, first name, and company, in your selected campaign.

Simply toggle the switch on or click the Play icon in the automation list to activate the workflow. You can also check the execution history of the automation workflow to verify its success.
