How to Export Data from Your Instantly Account

You can export different types of data from your Instantly account.

Access Requirement

You need an active subscription to access the dashboard and export data. If your plan has expired:

  • You cannot log in to the dashboard

  • Export functions are unavailable

To regain access:

  • Resubscribe to a paid plan (Growth, Hyper Growth, or Light Speed)

  • Once the subscription is active, you can access the dashboard again

  • Export any data you need

Planning to cancel? Export all important data before your subscription expires.


Exporting Leads

Download leads from CRM - either all leads or specific selections.

Option 1: Export All Leads

Option 2: Export Selected Leads

  • Open a specific campaign/list in the CRM

  • Apply filters to find the leads you want (optional):

  • Select leads:

    • Check boxes next to specific leads

    • Or click "Select all" to choose all filtered results

  • Click "Row actions" β†’ "Download selected"

  • CSV file downloads with only selected leads

What's Included in Lead Exports

  • Workspace ID

  • Lead upload/update timestamp - When lead was added or last modified

  • Upload method - How lead was added(CSV, API, manual, etc.)

  • Campaign ID/Name - Campaign the lead belongs to (if in a campaign)

  • List ID - List the lead belongs to (if in a list)

  • Lead data - Variables or enriched data

  • Lead status - Current campaign status (Active, Completed, etc.)

  • Interest Status - Lead interest label (Interested, Not Interested, etc

  • Assignee - Team member assigned to this lead (if applicable)

  • Verification status - Whether email was verified and verification result

  • Last contacted from - Which sending account last sent to this lead

Note: If you're downloading leads directly from the campaign, you will receive only the campaign name, lead data, variables, verification status, interest status, and last contacted information in the file.


Exporting Campaign Analytics

Option 1: Export Campaign Analytics Report

  • Go to your Campaign (from Campaigns dashboard)

  • Click the "Analytics" tab

  • Click the "Share" button (top right)

  • Select "Download" from the dropdown

  • Report downloads as a JPG image

  • Displays the number of leads contacted, opens, clicks, and replies received

Option 2: Export Email Sending Activity

  • Open your Campaign

  • Go to the "Analytics" tab

  • Scroll down to the "Activity" section

  • Click the "Download" button

  • CSV file downloads with activity log

What's included:

  • Lead email addresses

  • Sending account used

  • Step number

  • Event

    • Email sent/opened/Link clicked

    • Replied received/Unibox Reply sent

    • Bounced

    • Auto reply

    • Interested

  • Event timestamps

  • Which link was clicked on


Exporting Email Accounts

Download a list of all your connected email accounts.

  • Go to Email Accounts dashboard: https://app.instantly.ai/app/accounts

  • Select accounts:

    • Check boxes next to specific accounts

    • Or click "Select all" to choose all accounts

  • Click the three dots (...) in the top right corner

  • Select "Download CSV"

  • CSV file downloads with account details

What's included:

  • Email addresses

  • Accounts from Instantly (TRUE or FALSE)

  • Account has error (TRUE or FALSE)

  • Tag names


Exporting Campaign Sequences

Option 1: Export via API

  • All sequence steps

  • Email subject lines and body copy

Option 2: Import Campaign to Another Workspace Manually

  • Open the target campaign

  • Click on the "..." icon in the top right corner

  • Select "Share campaign"

  • Select "Copy link"

  • Log in to your new workspace in incognito mode and paste the copied link into the web browser.

  • Click on "Let's go" when prompted.

  • All campaign details, including the sequence (email copy), campaign schedule, and settings, will all be copied, except for the leads, analytics, and replies.


Exporting Blocklist

Download your list of blocked email addresses.

  • Select entries:

    • Click "Select all" to choose all blocked emails

    • Or check boxes next to specific entries

  • Click "Download CSV"

  • CSV file downloads with blocklist

What's included:

  • Blocked email addresses

  • Date added to blocklist


Export Unibox Replies via API

There is no direct way to bulk export all Unibox replies from the interface.

  • Email replies

  • Email content

  • Reply timestamps

  • Sending account

  • Lead email address
