Unibox is your centralized inbox for managing all lead replies from one place, no need to log into multiple email accounts.

It consolidates all replies from your connected email accounts into one master inbox.

Instead of logging into your email provider for each account, or setting up email forwarding rules, you can access all the emails in Unibox.


How to Filter and Organize Replies

Filter Options

  • Status: Filter replies by default or custom lead statuses. You can also add more by creating custom labels.

  • All campaigns: View replies from specific campaigns

  • All inboxes: Check replies from specific sending accounts

  • More

    • Inbox: All received replies

    • Unread only: Check unread replies only

    • Reminders only: Follow-up reminders you've set

    • Scheduled emails: Replies scheduled to send later

    • Sent: View campaign emails sent from Instantly

Another way to filter replies is by using the search feature. Simply enter the domain or the email address of the lead.

Quick Actions Menu

Click the three dots (...) to access these options:

  • Move: Move leads to a subsequence or another campaign

  • Note: Add internal notes about the lead or conversation

  • Find similar leads: Discover lookalike prospects in SuperSearch

  • Mark as unread: Mark this reply as unread for later review

  • Edit lead: Update lead information

  • Set Reminder: Schedule a follow-up reminder


How to Reply to Emails in Unibox

Plan Requirements

  • Hyper Growth & Light Speed plans: Reply directly in Unibox

  • Growth plan: Preview only. You can reply from your original mailbox (Gmail, Outlook, etc.)

To send or forward replies in Unibox, please follow the steps below:

  • Open the email in Unibox

  • Click "Reply" or "Forward" at the bottom

  • If CC recipients are included, click the arrow on the Reply button to select "Reply All"

  • Compose your message

  • Click "Send"


How to Delete Emails in Unibox

Important: Deleting from Unibox doesn't delete from your original mailbox, emails remain there.

Delete Individual Emails:

  • Open the reply in Unibox

  • Click the three dots (...) in the top right

  • Select "Delete email"

  • The thread is removed from Unibox (still accessible in your email provider)

Bulk Delete Emails:

  • Tick the box to select one email first

  • Hover over the checkbox to see replies in bulk

  • Click the trash icon to delete all selected emails


How to Delete Leads in Unibox

To delete leads in Unibox, please follow these steps:

  • Open the reply in Unibox

  • Click the three dots (...) in the top right

  • Select "Delete lead/Add to Blocklist" from the dropdown menu.

    • Delete all the leads with the same domain (entire company)

    • Delete the lead from all campaigns

    • Add to the blocklist (also removes their replies)


Best Practices for Replying to Leads

As soon as you get a reply to an initial cold email, you need to come up with a response to keep the conversation’s momentum going or schedule a call.

Here is what you should do when you get a positive response to your cold email:

  • Understand your prospect’s intentions

  • reply as quickly as possible

  • Have a call within 24-48h, helps with show up rates

  • Make it all about them

  • Don’t overwhelm them with too much information

  • Answer all their questions

Respond to Every Opportunity

Before you respond to leads, you want to qualify them. If they aren’t interested, you can put the lead into the "Not Interested" folder or remove them.

Don’t leave interested people hanging in the dark; respond to every single person who contacts your business. Building relationships is key to the success of any business. Regardless of whether or not these conversations will result in conversions, you should invest time in talking with those who show an interest in your business.

Even if the lead doesn’t look as interested as you’d like when you first read the email, it can actually turn into a client. So give every opportunity a chance.
