How to Connect Your Email Accounts to Instantly

Check this article to learn how to connect your email accounts from different email providers to Instantly

We're here to help you connect your email accounts quickly and easily.

  1. Click Email Accounts in the left sidebar

  2. Click Add New

  3. Select Connect existing accounts and choose your email provider:

    • Google

    • Microsoft

    • Other provider (IMAP/SMTP)


Connecting Google Accounts

For Google Workspace Accounts

  1. Go to Email AccountsAdd New

  2. Choose Google

  3. Select Option 1: oAuth method

  4. Follow the prompts to complete the connection (detailed instructions here)

For Personal Gmail Accounts

  1. Go to Email AccountsAdd New

  2. Choose Google

  3. Select Option 2: App password method

  4. Follow the prompts to complete the connection (detailed instructions here)


Connecting Microsoft/Office 365 Accounts

To connect your Microsoft/O365 Account, please follow the steps below:

  1. Go to Email AccountsAdd New

  2. Choose Microsoft

  3. Enable SMTP access in your Microsoft account settings

  4. Follow the prompts to complete the connection (detailed instructions here)

Important: Outlook accounts must be connected individually using the Microsoft connector with oAuth. Bulk connection is not available for Microsoft accounts.


Connecting Other Email Providers (IMAP/SMTP)

For email accounts from providers other than Google or Microsoft:

  1. Go to Email AccountsAdd New

  2. Choose IMAP/SMTP

  3. Select your connection method:

Note: You need BOTH IMAP and SMTP protocols to be set properly to connect an email account to Instantly. It's not permitted to connect only SMTP for sending emails, as our emailing, replies detection, warm up processes also require IMAP settings.


Troubleshooting Common Connection Issues

Account Already Added Error

If you see an "Account already added" error when connecting an email account, this could happen if the email is in your current workspace, another workspace you manage, or a workspace you previously used.

Each email can only be linked to one workspace at a time. Before taking any action, confirm if it's already in your current workspace.

  • Search Your Current Workspace:

    • Go to your Instantly dashboard.

    • Use the search bar to look for the email address in question.

    • If it appears, it’s already connected in the current workspace.

  • Check Your Other Workspaces:

    • If you manage multiple Instantly workspaces, please check each one individually.

    • Log into each workspace and repeat the search process.

If you can't find the account in any of your workspaces, it may be connected to a workspace you no longer have access to, such as one you previously left or that has expired.

  • For Paid Workspaces Using the API: Use the dedicated /account/moveaccounts endpoint in our API to move accounts to your new workspaces

    • You must use an ADMIN workspace API key.

    • Both the source and destination workspaces must be in the same workspace group

  • Manual Transfer For Paid Workspaces
    If you have a paid Instantly account, our support team can help disconnect the accounts so you can connect them to your desired workspace.

    • Open the help chat in your Instantly dashboard

    • Share the list of email accounts.

  • For Free Trial Users

    If you don't have a paid Instantly account, we can't disconnect the accounts to prevent abuse of free trials. You'll need to upgrade the new workspace to a paid plan. Once upgraded, our support team can assist with disconnecting your accounts.

Use an Incognito or Private Browser Window when adding or re-adding accounts. This starts a fresh session without cached login credentials.

Google accounts aren't visible when connecting

Try using an incognito window to prevent login session conflicts.

  • Each Google account must be connected individually, even in the same workspace

  • After configuring Instantly oAuth in your Google Workspace Admin console, simply click "Use another account" to log into other Google accounts
