Everything you need to know about the Email Accounts dashboard and managing your sending accounts

The Email Accounts dashboard is where you connect and manage your email accounts for cold outreach and warmup.

Account Limits by Plan

  • Free trial users: Connect up to 2 email accounts

  • Email Outreach plans: Connect unlimited email accounts

After the 14-day free trial, accounts, warmup, and campaigns will be paused automatically until you subscribe to an Email Outreach plan.

If your accounts were paused after your trial or plan expired, you can unpause them after subscribing to an Email Outreach plan. Steps to unpause accounts:

  • Go to the Email Account dashboard

  • Tick the box to select paused accounts in bulk

  • Click on the three dots(…) in the top right corner

  • Select Unpause selected accounts


Connect email accounts

Click "Add new" to purchase new accounts or connect existing ones. You have three options:

  • Pre-warmed accounts: Purchase already warmed-up domains and email accounts from Instantly with essential DNS records pre-configured, allowing you to start sending campaigns from day 1.

  • Done-For-You email setup: Purchase new domains and email accounts from Instantly. We will automate the DNS configuration, and setup typically takes 1-3 business days. DFY accounts requires 2+ weeks of warmup before starting campaigns to improve deliverability.

  • Connect existing accounts: Connect email accounts you already own from Google, Microsoft, or other providers. It's recommended to warm up your accounts for at least 2 weeks before launching your campaigns to improve deliverability.


Understand Account Statuses

Status Badges

  • Gen-1/Gen-2: Done-For-You or Pre-warmed accounts purchased from Instantly

  • Setup pending: Done-For-You domains are still being set up (typically 1-3 days)

  • Subscription canceled: Done-For-You or pre-warmed accounts have been canceled

  • Paused: Accounts paused due to free trial expiration or Email Outreach plan expiration

  • Sending Error/Disconnected: Accounts are disconnected and cannot send emails

  • DNS error: Accounts are missing required DNS records (hover over the icon to see which records are missing)

Filter Accounts by Status

Use the "All statuses" dropdown to filter your accounts:

  • All statuses: Show all connected email accounts

  • Paused: Accounts paused due to trial or plan expiration

  • Has errors: Inactive or disconnected accounts

  • No custom tracking domain: Accounts without a custom tracking domain

  • Warmup active: Accounts with warmup enabled

  • Warmup paused: Accounts with warmup paused

  • Warmup has errors: Accounts with warmup disabled

  • Pre-warmed accounts: Pre-warmed accounts purchased from Instantly

  • DFY accounts: Done-For-You accounts purchased from Instantly

  • DFY setup pending: Done-For-You accounts still in the setup process

  • Custom tags: Accounts associated with specific custom tags


Account analytics

The Email Accounts dashboard displays key metrics for each account:

  • Emails sent column: Shows campaign emails sent from this account per day in the format: (Campaign emails sent today / Daily campaign limit)

  • Warmup emails column: Total warmup emails sent in the last 7 days

  • Health score column: The percentage of warmup emails landing in the inbox vs. the spam folder. A score above 90% is considered good.


Test Domain Setup

You can click the Test domain setup option to verify that your DNS records are configured correctly. Learn how to set up DNS records.

  • MX Record: Directs incoming emails to your mail server. Without an MX record, you won't be able to receive replies.

  • SPF record: Specifies which domains are authorized to send emails on your behalf. Helps reduce spam and phishing attempts while improving deliverability.

  • DKIM record: Adds a digital signature to your emails, making them traceable and preventing spoofing.

  • DMARC record: Authenticates your emails and signals to recipients that they were sent from a legitimate source.


Enable Warmup

Click the flame icon next to any account to enable warmup. It's recommended to warm up accounts for at least 2 weeks before launching campaigns.

Warmup Analytics

You can check the warmup analytics to confirm whether the account has started sending and receiving warmup emails.

  • Go to your Email Account tab.

  • Click on the email account

  • Check the warmup analytics for the past week in the pop-up window


Bulk Editing Accounts

You can manage multiple accounts at once by bulk editing settings. Learn more about bulk editing.

Common bulk actions:

  • Enable/pause warmup for multiple accounts

  • Update account settings

  • Apply tags to multiple accounts

  • Unpause multiple accounts
